Realm of Chivalry Interim Board of Directors Meeting Tues 2/18/25:

Posted below are the minutes from the Interim Board of Directors Meeting Tues 2/18/25.

But first, a few things from the interim Secretary:

• The King is not legally liable if the RoC falls.
• If you’re a member of the Realm, please make sure your current/correct email address is up to date, this week, with the Census Keeper, April Barton, (By Wed 2/26)
• Absentee ballots will go out to these addresses the Friday before voting containing a Google form. VOTING will be a cross between these, AND in-person votes, at the MARCH meeting, Sun 3/2, unless contingencies are not met, in which it will be moved to 4/6. (More explanation below in the minutes.)
• If thinking of applying for the BOD, the DEADLINE has been EXTENDED to Thur 2/27 in hopes of giving more time to collect applicants. You DO NOT have to be a current member of the RoC (but would need to be after becoming elected, again see below)

Opened with Faith and Dick present.
Dick moves that we appoint Katie as the Acting Recording Secretary.

Vote passes: 2 to 0.
Katie is appointed as the Acting Recording Secretary (Voting Position).
Dick moves to recess the meeting until tomorrow when Katie can be invited.

Faith recessed the meeting until tomorrow.
Faith reopens the meeting.
Dick moves to establish the following updates to the Election process as outlined in Article 6 of the Realm of Chivalry Articles of Incorporation.
Resumes will now be accepted until midnight on the Thursday (2/27) before the March Meeting (3/2).
Voting will happen at the March Meeting scheduled for 3/2 pending we have 5 or more applicants. If not, we will extend voting to the April 4/6 meeting. Voting will commence at the April meeting with 3 or more applicants.
Telecommute options will be made available TBD.
Absentee votes will be made available online via email the Friday voting meeting. Absentee voting will open as of 5:30pm on meeting day, and will remain open until 5pm the next day.
No Proxy votes will be allowed.
People are only allowed to vote for one applicant for each position.
Simple Majority
Ties – Revote with only the applicants involved in the Tie.
If there is a second tie, the vote will be decided by flip of the coin, administered by the Seneschal unless running for that position, in that case it will be administered by the senior Peer physically present at the meeting who is not running in that position, if possible, if not then administered by the Acting Voting Officer.
Elect all positions: In order – Vote Chair, Vice Chair, Treasurer, Secretary, Recording Secretary
One year positions
You can apply for more than one Position – Can not hold more than one position.
Must be a Paid RoC Member by the closing of the Kingdom Meeting following the election, or they automatically abdicate the position at that time.
Using the list of Kingdom Officers found in the Law of Govt Section XV, A-I, the following will be excluded from running for the BoD in this election.
List of “Greater Officers”
This also includes the Realm High Marshal and Principle Herald as they are above the Kingdom Level positions, as directed in the Articles of Incorporation Section 6.
Simple Background check will be performed on all applicants
Registered Sex Offender List – Denied.
Felony Assault Conviction – Denied within last 5 years
Fraud or similar Conviction – Denied.
Resumes will be verified.
All decisions regarding the election process are tentative until guidance is received from the Sec of State, which is expected this Friday.
